Calculator inputs
Free calculations run in your browser. Pro planner inputs are sent to the server when you click Calculate, but are not stored as reports unless you choose Save to Pro. Free inputs are sent only when you choose to save a report. Avoid including sensitive details in report names.
Accounts and reports
We store your optional profile name, email, protected password hashes, verification and session records, saved report inputs and periods, and Stripe billing references. We do not store card numbers.
Private uploaded files and sales tax
Pro members and the administrator can upload receipt photos, redacted check copies and supporting PDFs to their own private inbox. File contents, review details and owner-selected links to business entries are stored in the account database, not publicly accessible. Photos may be resized; keep originals. Do not upload sensitive financial or personal details. Files are not automatically treated as transactions. A confirmed review or match is required. Sales-tax entries and corrections are stored separately from revenue and expenses. Owners can download files and a private backup even after Pro ends, remove uploaded files, and request/delete account data under the account policy. Removing a file does not remove an existing transaction; host backups follow the host retention policy.
Automatic receipt extraction is off until the owner configures Microsoft Azure Document Intelligence. If enabled, choosing Scan and confirming sends that one receipt photo to Microsoft for processing; no bank connection is made. Extracted merchant, date and amount suggestions require review and never become transactions automatically. Scan attempts and bounded extracted fields are retained for review and usage-limit enforcement. Removing a file does not reset monthly scan usage. Check and PDF extraction is not supported in this release.
Pro business records
When you explicitly save a workspace entry, we store the job/sale details, optional customer/reference, payments/refunds, expenses, workflow dates, payment follow-up dates, contact methods, person-contacted names, response dates/summaries, forecast assumptions and correction history in your account database. No bank connection is made. Avoid sensitive personal details. Voided entries are retained as correction history and excluded from active totals. Verified owners can export their own records even after a subscription ends. Contact support about account deletion and retention; required records may need to be retained.
Business profile, labor and printable forms
When saved, we store your business name/contact details, optional logo, worker labels/names, hours, rates, linked payments, form details, branding snapshots and correction history in your account. Do not upload IDs, tax numbers, bank details or sensitive personnel information. Printed documents and backups may contain customer or worker information; keep them private. Saved forms do not send emails, process payments or create financial transactions.
Vetted Notice Newsletter
We store email, consent time, confirmation state, and unsubscribe information. Only confirmed subscribers receive campaigns. Accounts do not automatically subscribe you. When the owner enables Omnisend, confirmed newsletter email addresses, consent dates and subscription status are shared with Omnisend for newsletter delivery and unsubscribe management. Account passwords, payments and calculator inputs are not shared. No Omnisend tracking script is installed.
Providers and cookies
The production app is designed for Hostinger hosting and MySQL, configured SMTP email, and Stripe payments. The development preview uses Sites. Necessary cookies support login. Hosting/security services may process IP addresses, request logs, browser details, and timestamps. Advertising is disabled by default. If we enable Google AdSense after approval, we request your permission before loading advertising scripts. Google and its advertising partners may process cookies, device identifiers, IP addresses and browsing information for ad delivery, measurement and fraud prevention. Our advertising integration does not send calculator values, saved financial reports, account email addresses or passwords to Google. Paid Pro members receive no advertising scripts or ad slots while signed in. Optional first-party usage measurement is disabled by default and requires separate permission when enabled.
Bills, materials and item lists
Pro/admin trackers store amounts owed, creditor names, due dates, linked paid expenses or loan-principal payments, stock counts, units, purchase costs, suppliers, per-item material/packaging lists and correction history as your private workspace records. These tools do not connect to a bank, pay a supplier or automatically deduct stock. Your full account/workspace export and deletion safeguards apply. Stock lists are planning estimates, not an accounting inventory valuation.
Blog articles and photos
The site owner can save private article drafts and uploaded photos in the admin workspace. Writer names, professional titles, article text, chosen photos and product links become public only when an article is published. Unpublished drafts and unused photos are not publicly accessible. The owner can unpublish articles and download a blog backup. Product links may take you to external websites with their own privacy practices; affiliate links are labeled. Publishing an article does not send a newsletter.
Optional blog comments
When comments are enabled, we store the display name and comment you submit for review. Comments remain private until the editor approves them. Approved comments show your display name, words and submission date publicly. Unreviewed comments are deleted during routine cleanup after 30 days; approved comments remain until the editor removes them. Please leave out personal contact details, customer details and private financial information. Comments do not add you to the newsletter. Contact us to request removal.
Private calendar
Calendar events, settings and plain-text day notes are private account records stored in our hosting database. Notes are not logged, sent to optional analytics or shared with third parties. Active Pro is required to create or change them. If Pro ends, your previously opened calendar remains read-only. Download my data includes these records and Delete my account removes them under the same billing and backup safeguards as your other saved data. Calendar pages never load ads.
Daily Briefing
Signed-in Pro members and administrators can see a private summary of their own saved calendar and business records. We keep an opaque display marker in your browser’s local storage to avoid repeating the pop-up during the same sign-in and day. The marker contains no email, titles, notes or financial amounts. Clearing site data removes it. Briefing contents are fetched from your private account and are not stored in browser storage or sent to optional analytics.
Video playback
Our YouTube preview image is hosted on this site. The blog loads the YouTube player only after you choose to play the video; YouTube may then receive browser and device information under its own privacy policy. You can instead open the video directly on YouTube.
Optional advertising and consent
Reject non-essential cookies to keep advertising off without losing access to any free calculator. You can change or withdraw permission using Manage privacy & cookie choices or Do not sell or share my personal information in any page footer. We remember this preference in a first-party vn_consent cookie for up to 180 days. Browser Global Privacy Control and Do Not Track signals disable optional advertising. Where enabled, Google Privacy & messaging provides certified European consent and applicable US state opt-out messages, in addition to our website-wide choice. If consent or membership verification is unavailable, no advertising loads. Google regional consent records have their own retention rules. See how Google uses information from partner sites.
Pop-up calculator
The basic pop-up calculator runs entirely in your browser. Its numbers and history are not sent to our server. Open state, calculations and position are kept in this tab’s session storage; closing the tab ends that session. Only your preferred widget position is kept in local storage across visits. Clear your browser’s site data to remove it.
Retention and choices
You can delete reports in My Account and unsubscribe from the Vetted Notice Newsletter. Verified members can download their entered data as JSON and request account deletion in My Account. Deletion requires the current password and confirmation. A subscription or open checkout must be resolved first. Externally synced Vetted Notice Newsletter contacts need coordinated support deletion. Website deletion removes saved reports, business profiles, documents, workspace entries, sessions and tokens; Stripe may retain payment records. Host backups expire under their retention policy, and support must reapply deletion requests if a backup is restored. Billing records may be retained for accounting obligations.
Children and contact
The site is intended for business owners and not directed to children under 13. See Contact for privacy requests.
Optional usage measurement
When enabled, and only with your permission, we count approved events such as using a calculator, saving a result, Vetted Notice Newsletter confirmation, account signup, upgrade clicks and checkout handoffs. These are daily counts, not unique people or audited conversions. Event records contain only event names, page labels and campaign labels, with a 90-day retention period. They do not contain email, IP addresses, session identifiers or financial figures. A first-party vn_source cookie lasts 30 days and remembers the first campaign. If you sign up after consenting, its campaign labels are saved with your account or Vetted Notice Newsletter record until deletion. We do not install third-party analytics. Browser privacy signals suppress this measurement.
